Inventory Report/Check in

Our inventory report is prepared before the start of a tenancy and is a vital part of the letting process.

 

Our inventory report is an accurate and detailed description of the decor, contents, fixtures and fittings of the property, gardens and garages where present. It also includes meter readings and their locations. Colour date & time stamped photographs are incorporated within the body of the report.

 

This document helps to ensure protection for both the tenant and the landlord should a dispute arise at a later date.

Once the tenant has been in place for at least three months it is beneficial to find out how they are treating the property and whether any suggestions need to be made to them, or if there are any maintenance issues that may need attention. We can arrange this inspection visit directly with the tenant, agree a date and time convenient for the visit. The tenant can, if they want, be present to bring up any issues they have.

 

This type of inspection can prevent minor issues escalating to the stage where major work is required.

Our report compares the condition of the decor, contents, fixtures and fittings to the condition as noted on the inventory at the start of the tenancy. The length of the tenancy, fair wear & tear and comments noted on the original inventory are taken into consideration. Additional items and any damage or cleaning issues will be noted along with final meter readings.

 

A common misconception is that a check-out report will look much like an inventory, and list everything in the property; however it will only list any changes, in order to provide a fair comparison.

Full AIIC Accreditation

The AIIC (Association of independent inventory clerks) was established in 1996 to promote the highest possible standard of accuracy and reliability in the inventory business. Their aim is to ensure all landlords, tenant and letting agents understand the importance of the inventory process and the benefits of using an independent, professional inventory clerk.

You can be assured that by using an AIIC accredited independent inventory clerk:

  • They will have agreed to conduct their business in a professional manner in accordance with the Guidelines to Professional Practice

  • They will abide by the AIIC’s Code of Practice

  • They will have Professional Indemnity Insurance

Tenancy Deposit Protection

The Tenancy Deposit Protection applies to all assured shorthold tenancies in England and Wales where a deposit is taken. Virtually all new contracts to let a property are assured shorthold tenancies.

Landlords will be able to choose between two types of scheme: a single custodial scheme or the insurance-based scheme.

Tenancy Deposit Protection has been introduced:

To ensure good practice in deposit handling, so that when a tenant pays a deposit, and is entitled to get it back, they can be assured that this will happen. To assist with the resolution of disputes by having an Alternative Dispute Resolution (ADR) service.

It will also encourage tenants and landlords to have in place, from the outset, a clear agreement on the condition of the property through best practice, such as the use of inventories, and agreement on the condition of the property.

Landlords will be able to choose between two types of scheme: a single custodial scheme or the insurance-based scheme.

Don’t leave it to chance

Inventories are an essential piece of documentation. The inventory of contents and schedule of condition is prepared to avoid any misunderstanding at the end of the tenancy. Without such safeguards it will be impossible for the Alternative Dispute Resolution (ADR) service to determine any loss or damage to the property or its contents.

Insurance-Based Schemes

  • The tenant pays the deposit to the landlord or agent who retains it and pays a premium to the insurer - the key difference to the custodial scheme. Within 14 days of receiving a deposit, the landlord or agent must give the tenant prescribed information about the scheme being used and the tenancy.

  • At the end of the tenancy, if the landlord and tenant agree how the deposit should be divided, the landlord or agent returns all or some of the deposit.

  • If there is a dispute, the landlord or agent must hand over the disputed amount to the scheme for safekeeping until the dispute is resolved.

  • If for any reason the landlord fails to comply, the insurance arrangements will ensure the return of the deposit to the tenant if they are entitled to it.

Custodial Scheme

  • The tenant pays the deposit to the landlord or agent who then pays the deposit into the scheme.

  • Within 14 days of receiving a deposit, the landlord or agent must give the tenant the prescribed information (to be set out in secondary legislation) about the scheme being used and the tenancy. 

  • The tenant pays the deposit to the landlord or agent who then pays the deposit into the scheme.

  • At the end of the tenancy, if the landlord and tenant agree how the deposit should be divided, they will tell the scheme which returns the deposit, divided in the way agreed by both parties.

  • If there is a dispute, the scheme will hold the amount until the dispute resolution service or courts decide what is fair.

The interest accrued by deposits in the scheme will be used to pay for the running of the scheme and any surplus will used to offer interest to the tenant, or the landlord depending on the terms of the tenancy agreement
